Location: Sunnyvale, CA

Job Type: Full-Time

We are seeking a professional, friendly, resourceful, and highly organized General Receptionist to be the face of our organization and a key support to our facility, operations, and administrative teams. This role is essential in managing client experience, creating a welcoming first impression for clients, ensuring smooth visitor management and vendor coordination, onboarding logistics, and providing cross-functional administrative support.

Position Responsibilities

Front Desk & Client Experience:

  • Serve as the first point of contact for clients and visitors in the lobby, by warmly greeting and assisting clients.
  • Notify relevant employees upon client arrival and escort clients to appropriate meeting rooms or lab areas.
  • Manage visitor sign-in and enforce visitor check in/check out procedures.
  • Maintain a professional, clean, and organized front desk and lobby environment.

Office Operations & Administrative Support:

  • Order and maintain stock of office snacks, supplies, and consumables.
  • Coordinate pickup and delivery schedules with vendors for recurring deliveries and restocking.
  • Schedule and manage bookings for all conference rooms, ensuring readiness for meetings and events.
  • Answer and route calls on the main phone line, taking messages when necessary, with professionalism and accuracy.
  • Assist with signage creation, laminating, and printed material distribution across facility & departments.
  • Assist with the outbound/inbound mail process, including occasional trips to USPS.

Vendor, Purchasing, and Consumables Coordination:

  • Create and submit purchase orders for office and lab consumables in coordination with the Operations team.
  • Track orders and follow up with vendors to confirm delivery timelines.
  • Contact vendors directly to request W9 forms and missing invoices when needed.
  • Maintain organized documentation of vendor communications and deliveries.

Employee Onboarding & Facilities Support

  • Facilitate new-hire onboarding logistics—prepared and scheduled by HR—by assembling welcome materials, setting up workstations, computer set up and issuing access badges/keys.
  • Maintain and track access key inventory and return procedures.

Event & Meeting Support:

  • Assist with the preparation, setup, and teardown of internal and external events, including but not limited to team meetings, client visits, and seminars.
  • Support meeting logistics such as catering, signage, and tech setup as needed.
  • Provide support with conference room booking, preparation, and upkeep.

Executive, Financial, and Operational Assistance, as requested:

  • Provide assistance with executive calendar scheduling, meeting coordination, and travel arrangements (flights, lodging, itineraries).
  • Support sales and invoicing workflows by organizing documentation or assisting with administrative tasks.
  • Provide backup support for collection efforts.
  • Participate in occasional cross-departmental projects and general office support functions.

Desired Qualifications

  • 1–3 years of experience in an administrative, receptionist, or front desk role.
  • Excellent verbal and written communication skills.
  • Friendly, outgoing personality with strong interpersonal skills.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proficiency with Microsoft Office Suite and general office tools.
  • Previous experience in a lab, tech, or client-service environment is a plus.

Salary Range:  $25-$28/hr
